UU Meeting House of Pittsfield | Pittsfield, ME | Half-time, hourly pay commensurate with experience

This is a challenging, part-time position with an average of 15-20 hours per week, daytime hours flexible.

The right person for this work will be one who enjoys wearing many different hats, takes pride in their work and their community, pays attention to details, and communicates well both in person and through media and writing. 

Responsibilities for this position include administrative support of, communication, and scheduling of weekly Sunday services including use of social and print media; light bookkeeping; general administrative duties & support; general communications including social media and paper correspondence; facility oversight; member assistance; and board support. The preferred candidate will be a creative problem solver with a history of working both independently and as a team. Will train. See description in following section for more details (scroll down).

Proficiency: Microsoft Office Suite and Quicken/Quickbooks or similar accounting software; ability to write well and manage social media

Required education: High school or equivalent; Associates or Bachelors in Business, Communication, or equivalent preferred

Description: Administrative & Outreach Professional

The Administrative & Outreach Professional at the UU Meeting House is a demanding, approximately half-time position. Supervision of the position is by the UUMH Council and thus, reporting to Council will be required through monthly attendance at Council meetings. This position is reviewed annually by UUMH Council.

Responsibilities:

A. Administrative support of weekly Sunday services

  1. Contact and scheduling of weekly rotating ministers and musicians for weekly Sunday services 
  2. Preparation, proof, and photocopy of the weekly service program
  3. Posting all changes to the outdoor signboard

B. Bookkeeping

  1. Maintain a complete and systematic set of records of business transactions
  2. Generate checks for all accounts payable for Treasurer’s signature.
  3. Issue invoices as appropriate
  4. Verify transactions, balance books, and prepare reports to show receipts, expenditures, accounts payable and various other items pertinent to the operation of the church.
  5. Maintain records for memorials and special collections; send notes of acknowledgement & thanks

C. General administrative duties

  1. Maintain business office hours weekly; receive visitors to office and sanctuary and respond to needs.
  2. Maintain office equipment: operate, order supplies, and recommend maintenance needs for all office equipment (i.e. copier, computer, printers, etc.), and entryway supplies: name tags, brochures, newsletters, etc.
  3. Mail: Pick-up, open, sort and distribute incoming mail; organize and post outgoing mail.
  4. Maintain master calendar.
  5. Maintain membership  rolls (including record of baptisms, weddings and funerals), membership, and contacts spreadsheet.
  6. Alongside Clerk, assist in preparation of annual report: acquiring reports from committees and officers, editing and formatting information received, proofreading, copying and assembly of reports.
  7. Answer phone and relay messages to the Council moderator, officer and/or appropriate trustees.
  8. Communications including 
  9. Facility care and support including building use and rentals (scheduling, documentation, communication), and day-to-day maintenance functions including garbage removal, compost, checking dehumidifier as necessary and reporting all relevant information to chair of Buildings and Grounds. 
  10. Assist community members when appropriate.
  11. Any other assignments made by the Council in keeping with the job.

Proficiency: Microsoft Office Suite, with good working knowledge of Quicken, ability to lift 20#, ability to write succinctly and with few errors

A. Expectations

The Administrative & Outreach Professional will carry out the above responsibilities to the best of his/her ability, in a cordial and cooperative manner with the Council and congregation.

The Administrative & Outreach Professional will protect the reputation and integrity of others through strict confidentiality. Should any problem arise with individual members of the congregation, the Administration & Outreach Professional should report them to the Council.

B. Remuneration

UU Meeting House of Pittsfield will pay the Administrative & Outreach Professional an hourly wage commensurate with experience and negotiable with possibility of promotion after the first three months. The Administrative & Outreach Professional is entitled to two vacation weeks in the first year of employment. All vacation time is to be approved by the Council.
